- Task: Pick the important and/or urgent tasks from your To-Do List and write them down here in order or priority. These are the tasks you’ll complete by using the Pomodoro Technique.
- The column with #: Here, you will write a number of the Pomodoros you’ll think it’ll take for you to complete the task. One Pomodoro is 25 minutes.
- Pomodoros: Here, you will track completed Pomodoros. Every 25 minutes you’ll work towards completing the task, you’ll write a little checkmark inside the circle. If a task/project would take more than 8 Pomodoros (8×25 minutes) to complete, it should be divided into smaller subtasks.
- Done: When the task is completed, you can check this box. And once the task is completed (regardless of how many Pomodoros it took), you can mark the tasks completed.

The Two-Minute Rule
When a task feels overwhelming, our natural reaction is to procrastinate. The Two-Minute Rule offers a simple way to break through that resistance and build momentum. Here’s how it works:
- If it takes less than two minutes, do it now. This clears away small tasks that clutter your mind and frees up focus for bigger work.
- If it’s a bigger task, just start with two minutes. Instead of aiming to finish the whole thing, commit to working on it for only two minutes.
This tiny shift reduces the mental barrier that makes difficult tasks feel impossible. Once you’ve started, you’ll often find yourself naturally continuing beyond two minutes. Even if you stop, you’ve still made progress—and getting started again will feel easier.
For example, if you’ve been avoiding drafting a proposal, tell yourself: “I’ll just open the document and write for two minutes.” Chances are, once you’re in motion, you’ll keep going.
